Your Mission:

Reporting directly to the senior property manager, you will provide an assistance and administrative support for the Business Unit and Property Manager(s) concerning various external contacts, tenants, suppliers or any other person contacting their client and its Health Care activity in general.
Working in a big company but within a small entity, you will have to collaborate with the other stakeholders as well as being able to work alone and autonomously.

Your tasks:

- Maintain regular contact with main tenants in order to solve lease related issues. Provide rapid, correct information on this subject to one's own team, Head of Business Unit etc.) and/or other departments (Project Management, Legal department, etc.)
- Monitoring of tenants' complaints
- Participate to the tasks and reflection related to the environment and the environmental aspects of the buildings (ISO question, monitoring of the permits, asbestos question, new regulations)
- Verify encoding in SAP (indexation, guarantee, insurance, … )
- Deal with incoming mail and emails
- Draft letters and emails
- Collate information and prepare the different reports for the responsible person
- Handle incoming phone calls proactively
- File documents
- Index and check digital filing (Edoc/Cofishare/Ctools)
- Manage agendas, plan appointments, meetings
- Prepare order forms (SAP)
- Keep the various databases and listings up-to-date
- Inform customers and suppliers about planning, works, applications, check whether the work ordered has been carried out
- Carry through all initiatives to improve customer service
- Participate in meetings and implement decisions taken

Profil recherché

Your profile:

- Higher vocational diploma (various) or equivalent by experience
- At least 4 years of experience in a support or administrative role, preferably within the real-estate sector
- Detailed knowledge of languages NL& EN :oral and written , knowledge of FR would be an asset for the position
- Office automation knowledge MS OFFICE: Word / Excel, Power Point/Outlook…
- Thorough knowledge of Microsoft Office tools
